MAP CARE Account Deletion and Account Closure Policy

MAP CARE is operated by SAMYA PRABH HEALTHCARE PRIVATE LIMITED.
This policy explains how account closure, deletion requests, restricted retention, and post-closure handling work in MAP CARE.
1. Difference Between Account Closure and Data Deletion
In MAP CARE, account closure and data deletion are related but not always identical.
- Account closure means access may be disabled, restricted, or terminated.
- Data deletion means specific data is erased where erasure is lawful, safe, and operationally appropriate.
Some records may be archived or restricted instead of fully deleted.
2. Who May Request Closure or Deletion
A request may be made by:
- the account holder
- a lawful guardian or authorized representative
- a person otherwise permitted by law to act for the data subject
MAP CARE may require verification before acting on the request.
3. What MAP CARE May Close Immediately
MAP CARE may close or disable access to:
- login access
- active sessions
- protected workspace activation ability
- routine authenticated use of the platform
4. What MAP CARE May Retain After Closure
Even after account closure, MAP CARE may retain or restrict certain records where reasonably necessary for:
- audit trails and traceability
- fraud, abuse, and security handling
- legal, tax, compliance, or regulatory obligations
- billing, invoice, dispute, or reconciliation records
- emergency traceability
- medical, safety, or healthcare workflow continuity where records cannot be lawfully or safely erased immediately
5. Records That May Be Restricted Instead of Deleted
Depending on the account role and active workflow, MAP CARE may:
- move records to archive status
- restrict visibility
- block future editing
- preserve logs while removing routine user access
- keep only the minimum lawful data necessary for compliance or traceability
6. Requests MAP CARE May Decline or Limit
MAP CARE may decline, defer, or partially fulfill a deletion request if full deletion would:
- violate law or regulatory duty
- compromise audit or safety records
- interfere with a live dispute, investigation, or legal hold
- break emergency or healthcare traceability obligations
- materially weaken security or fraud handling
7. How To Submit A Request
Account closure or deletion requests may be sent to:
- mapcare.in@gmail.com
The request should include enough information for MAP CARE to verify identity and understand the scope of the request.
8. Outcome Types
Following review, MAP CARE may:
- close the account and erase eligible data
- close the account and retain restricted records
- request more information or verification
- refuse full deletion while explaining the retention basis in general terms where appropriate
9. Effect On Prior Lawful Processing
Closure or deletion does not undo processing that was already lawful before the request.
